LIQUID LIFESTYLES’ SYSTEMS


We use Rackspace for our company emails. All client notifications, schedule updates and important reminders will be sent SOLEY to your Liquid Lifestyles email address. Please check it regularly.

You can access your email directly from the Email Web Portal or from any browser at: apps.rackspace.com. You will need your @liquidlifestyles.com email address and password for access.

Click the "Device Setup Guide" button for detailed instructions on how to set up your email on your desktop, laptop, tablet and/or smart phone (recommended).

Pike13 manages ALL aspects of our business; including staff scheduling, client enrollment, billing, client management, liability waivers, attendance, payroll and reporting. Every aspect of our business is connected to Pike13 in some way. 

It is essential that you become familiar with this software. You can access it by visiting www.Pike13.com or by downloading the staff app on your Android or Apple iOS device.

IMPORTANT!

Take some time to watch these training videos as they will help you become comfortable with our scheduling software and the daily tasks you will be required to perform. It will take about 45 minutes to go through all of them but each one is very important to your success. Topics include:

  • Subscribing to your Pike13 Schedule

  • Setting up your Availability

  • Confirming Attendance

  • Handling Unpaid Visits

Many of our facilities are equipped with cabinets that house the training equipment we use with our clients. Each cabinet is secured with a Noké Padlock that you can open with your bluetooth enabled smartphone. Coaches are provided access to each specific cabinet/location where they will be conducting lessons.

To set-up your Noké you will need to first download the Noké app on your iOS or Android device. Use your @liquidlifestyles.com email address during set up. *YOU MUST HAVE YOUR PHONE WITH YOU AND THE APP OPEN TO ACCESS THE LOCK.

We use Dropbox for Business for secure file sharing, storage and collaboration. If you need access to files we will either share folder links with you as required or provide you with a login ID and password.

New client leads and customer service inquiries are managed using Pipedrive. This system helps us manage the customer service workflow and sales funnel. It is important for all coaches to direct customer service requests to the forms found on the CURRENT CLIENTS link found in the main menu bar of every page. This includes transfer requests, cancellation requests, and waitlist requests. It is OK if you choose to submit these forms on behalf of your clients.

If you are DIRECTLY involved in sales or customer service we will provide you with login credentials and Pipedrive software training.


Payroll is run every 2 weeks for all CONFIRMED LESSONS during that pay period (review Pike13 Training Videos for details). A pay period runs for two consecutive weeks, beginning on a Monday through the following two Sundays. Payroll is submitted by noon on Monday and your pay is directly deposited that Friday. New coaches will receive a welcome email from our Payroll provider asking you to confirm your bank account and tax withholding elections.

*Liquid Lifestyles coaches are solely responsible for confirming class attendance. Any services that remain unconfirmed beyond 2 pay periods will automatically be rejected and will not be eligible for backpay.

You can access your payroll summary data, historical pay check stubs and tax related documents using the link provided. If you want to see a detailed breakdown of your pending and historical pay by pay period, you can access that from your Pike13 Staff Dashboard. It is your responsibility to review the Pending Pay section on your Pike13 Dashboard to ensure accuracy.

HELP US IDENTIFY & PARTICIPATE IN COMMUNITY OUTREACH OPPORTUNITIES!

Take an active and FUN role by helping promote Liquid Lifestyles throughout your community! You can submit an “Add Payroll Item” in Pike13 for any events you work at a rate of $16 per hour.


TIME-OFF REQUESTS

Coaches are free to set their own availability and block their schedules as necessary. However, if a coach is ALREADY SCHEDULED or has posted availability it is expected that you:

  1. Complete the Time Off Request Form at least 30 days prior to your absence.

  2. BLOCK YOUR SCHEDULE in Pike13 (prevents NEW enrollments)

  3. ATTEMPT TO FIND COVERAGE:

    1. Add “LL COACH” to each affected service. Do NOT remove yourself from the service until your shifts have been picked up by another coach.

    2. It is EXPECTED that you put sufficient effort into finding coverage for your classes. We recommend reaching out to fellow coaches who specialize in the class types/ages that you need coverage for and who are not already scheduled. You can view schedules, find email addresses and phone numbers for all coaches in Pike13 under the “STAFF” Tab as well as browse specialties on our COACHES PAGE.

PLEASE NOTE: Without 30-days advanced notice you are still responsible for your shifts if they are not accepted by other coaches.

TIME SENSITIVE REPORTS!

 

To ensure accuracy and, if required, allow for a timely and appropriate response from management, it is imperative and EXPECTED that the following reports are submitted on the SAME DAY that the incident occurred. Please complete ALL procedures, as outlined, and provide as much detail as possible.

As an organization that works with children, our staff is in a position to help prevent child abuse. Can you recognize common signs of abuse? Take a moment to learn how to recognize common symptoms of abuse. You should report suspected child abuse if a child reports abuse to you or if you have “reasonable cause, suspicion or belief based on your observations.” It’s that simple. All we ask is that you let us know if you have concerns, and management will take it from there. Learn how to recognize child abuse.

Each coach has their very own web page. This is where prospective clients can learn more about your background, specialties, view pictures and directly book lessons with you. We encourage each coach to make this page their very own by personalizing it with content and pictures you think will help tell your swimming story. There is no limit to how much text or pictures you can add. Please send all information and/or edits directly through the Website Updates link.

We expect all of our coaches to have a good grasp of our website so you can appropriately respond to clients questions and direct them to answers to their questions. After completion of the Website Quiz you can do an "Add Payroll Item" for $16.
